Spa Policies and Procedures

Please read and understand these policies before receiving services at our medical spa. If you have any questions, do not hesitate to ask the staff for clarification. We value your satisfaction and safety above all else and are committed to providing you with exceptional care and service.



Introduction

The purpose of these policies is to ensure the highest level of client satisfaction, safety, and adherence to all applicable regulations for our medical spa. These policies apply to all clients, employees, service providers, and affiliates of Habits of Beauty & Diva Look Studio. Any exception to these policies must be approved by management in writing. This document provides guidelines on various aspects of the spa's operations, such as the services offered, client records, safety measures, scheduling, and cancellations. These policies have been developed to maintain a high standard of professionalism at the medical spa and to promote a positive experience for all clients.



Scope of Services Offered

  1. Habits of Beauty & Diva Look Studio offer a range of aesthetic and wellness services, including but not limited to:

  1. Electric Modalities
  2. Medical Grade Skincare 
  3. Facials 
  4. Chemical & Natural peels 
  5. Massages 
  6. Dermaplaning
  7. HydroDerm Facials 
  8. Nutrition Consultations
  9. New and innovative skincare solutions
  10. Waxing and other Hair Removal Techniques
  11. Teeth Whitening

  1. All treatments will be performed by certified and trained professionals, who will adhere to industry norms and aesthetic standards to ensure client safety & individual safety.

  1. All services provided will be in accordance with industry best practices, manufacturer guidelines, and regulatory requirements.


Service Consultations

  1. All clients must complete a comprehensive consultation, including medical history and informed consent, prior to beginning any service.

  1. Clients are encouraged to ask questions and clarify any doubts during the consultation.

  1. Clients with contraindications or potential complications will be referred to a qualified medical professional for further evaluation.


Appointment Scheduling and Cancellations

  1. Clients will be required to schedule appointments in advance, either in-person, via email/text messaging, or through the spa's online booking system. Depending on the nature of the treatment, we may require a deposit to secure your appointment.

  1. Clients should provide at least 24 hours' notice for cancellations or rescheduling of appointments. Failure to do so may result in a cancellation fee, equivalent to 50% of the cost of the scheduled treatment.
  2. In case of late arrival, clients may be required to wait for the next available appointment slot or reschedule their treatment. The spa will make every effort to accommodate late clients but cannot guarantee service availability.

  1. Habits of Beauty will be responsible for notifying clients of any changes to their scheduled appointments due to staff availabilities, unforeseen circumstances or other reasons.


  1. In the event of a no-show, the full appointment fee may be charged to the credit card on file.


Arrival Time

  1. Clients must arrive at least 15 minutes prior to their appointment to complete any necessary paperwork and prepare for treatment.

  1. Late arrivals may result in reduced treatment time or the need to reschedule, with applicable cancellation 


Client Conduct

  1. Personal Hygiene
  2. Clients are expected to arrive for their appointment in a clean and hygienic state.

  1. Please inform the service provider about any allergies, sensitivities, or other concerns before receiving a treatment.

  1. Behavior
  2. Clients are expected to treat all staff, other clients, and property with respect and courtesy.

  1. Any inappropriate behavior or harassment will result in immediate termination of services and possible legal action.


Client Records

  1. Habits of Beauty & Diva Look Studio will maintain comprehensive client records, including personal information, medical history, previous treatments, and treatment plans.

  1. Client records will be updated periodically to reflect any changes in the client's preferences, medical conditions, or other relevant factors.

  1. Habits of Beauty & Diva Look Studio will take all necessary measures to protect the privacy of client records, in accordance with applicable data protection laws and regulations.


Payment and Refunds

  1. Financial Responsibility
  2. Clients are responsible for payment of all services rendered and any additional products or fees.

  1. Payments are due at the time of service and may be made by cash, credit card, or electronic transfer.


  1. Refunds
  2. Services rendered are non-refundable and non-exchangeable.

  1. Unused, unopened products may be exchanged within 14 days of purchase for an equal or greater amount or amount can be applied to future services.



Miscellaneous

  1. Gift Certificates
  2. Gift certificates may be purchased in various denominations and expire one year from the date of purchase.

  1. Gift certificates may not be redeemed for cash and must be presented at the time of service.

  1. Promotions and Discounts
  2. Promotions and discounts may not be combined; clients must choose the most advantageous offer.

  1. Special promotions may have specific terms and conditions which must be followed in order to receive the discount.


Images, Videos, and Content Creation

  1. Habits of Beauty & Diva Look Studio reserves the right to take photos, videos of clients skin before, during, and after a service. Doing so ensures that we visually track our clients progression during a series of treatments, document before & after content, and protect the spa with visual proof of the state of our clients skin while on the premesis.

  1. Although we would love to use our clients images for content purposes; we respect the wishes of any client that does not wish for their images to be used on our social platforms.


Health, Safety, and Sanitation

  1. Compliance
  2. Habits of Beauty &  Diva Look Studio will implement stringent safety measures to prevent accidents and other potential hazards.

  1. All equipment used for treatments will be cleaned, sanitized and maintained regularly to prevent malfunction or risk of infection.

  1. A comprehensive emergency response plan will be updated periodically to ensure prompt response to emergencies.

  1. Staff members will undergo continuous training in safety procedures and protocols to maintain a safe and hygienic environment within the spa.

  1. Cleanliness
  2. Treatment rooms, equipment, and common areas will be thoroughly cleaned and sanitized between each appointment.

  1. Clients must adhere to any posted safety precautions or instructions provided by the staff when using equipment or facilities.


Limitation of Liability

  1. While Habits of Beauty & Diva Look Studio takes all precautions to ensure client safety, clients acknowledge that there may be inherent risks in undergoing aesthetic and wellness treatments.

  1. Clients agree to release and indemnify Habits of Beauty & Diva Look Studio from any liability arising from injury, illness, or other complications resulting from the treatment, to the extent permissible by law.


Privacy and Confidentiality

  1. Client records, including personal information, medical history, and treatment records, are confidential and protected by law.

  1. Clients may request a copy of their records or request that records be shared with another professional with proper written authorization.


Amendments to Policies

Habits of Beauty & Diva Look Studio reserves the right to amend or update these policies at any time. Clients will be notified of any significant changes through appropriate channels, such as email/text notifications or in-person communications.
